As a community-organized meeting, Pseudomonas 2026 commits most of its costs well in advance. Refunds are calculated as a percentage of the registration fee paid, as follows:

• Cancellation by the delegate without a documented reason or received after 8 November 2026: no refund.
• Cancellation by the delegate for a documented reason (such as illness or family emergency), received on or before 8 November 2026 (23:59 IST): up to 75% refund, after deduction of non-recoverable expenses already incurred.
• Visa refusal, with documentary proof submitted by 1 December 2026 (23:59 IST): up to 75% refund, after deduction of non-recoverable expenses already incurred. This applies regardless of the 8 November cut-off.
• Cancellation of the conference by the organizers: up to 80% refund, after deduction of non-recoverable expenses already incurred.

Requests outside these categories may be considered individually by the Organizing Committee.

Accommodation booked through the conference is non-refundable, as the rates secured from hotels are offered on a non-refundable basis. Pseudomonas Society membership fees, bank charges and payment-processing charges are also non-refundable.

A registered delegate may transfer their registration to a colleague at no charge by notifying info@pseudomonas.io before 1 December 2026.

The organizers are not liable for travel, accommodation or other costs incurred by delegates if the conference is canceled, postponed or disrupted for reasons beyond their control, including severe weather, natural disasters or government action. Delegates are strongly advised to take out travel insurance that covers cancellation and disruption.

All requests must be sent in writing to info@pseudomonas.io; the date of receipt applies. Approved refunds will be processed within two months of the close of the conference, or once final accounts are settled, whichever is later.
